For boarding and grooming, Gingr is the default recommendation unless you're under $80K annual revenue — in which case the Pawfinity free tier plus Google Calendar gets you further than any paid suite. Don't buy software to solve a process problem.

Six Things That Should Make You Walk Away

These aren't edge cases. We see at least two of these in every sales cycle we help a client navigate. Know what you're looking for before you get on the call.

The "We Integrate With Everything" Claim

Every vendor says this. Ask them to show you a live integration with the specific software you already use. If they can't demo it in the call, it doesn't reliably work.

Ask: "Can you show me your QuickBooks sync live, right now?"

Annual Contracts With No Exit Clause

Locking you into 12 months before you've run a full billing cycle is a red flag. Reputable platforms offer month-to-month after a 90-day setup period. If they won't, ask why.

Read the cancellation clause before signing. "30 days notice" means 30 days, not 30 business days.

The "Migration Is Easy" Promise

Migrating 5+ years of patient records is never easy. If a vendor downplays this, they either haven't done it or they're planning to charge you for it later as a professional services add-on.

Get the migration scope in writing — what data transfers, what doesn't, and who owns the cleanup.

Per-Appointment Pricing That Doesn't Scale

Some platforms charge per booking or per reminder. At 200 appointments a month, this looks fine. At 800, you're paying 4x what you budgeted. Run the math at your peak volume, not your current volume.

Ask for pricing at 3x your current appointment volume. Watch their face.

The Disappearing Onboarding Team

Several platforms assign you a dedicated onboarding specialist for 30 days, then hand you to a generic support queue. Find out exactly who you'll be talking to on day 31.

Request the name and contact of your post-onboarding support rep before you sign.

"AI-Powered" With No Explanation

AI triage tools, AI diagnosis aids, AI treatment recommendations — some are genuinely useful, most are keyword matching dressed up in marketing language. Ask them to define exactly what the model does and what it doesn't.

Legitimate AI tools have clear disclaimers. If there are none, that's a legal risk, not a feature.
